Administrative Associate

Summary
The Chinook Fund is a community foundation dedicated to strengthening social movements by funding community organizing and social change efforts in Colorado. Chinook also offers technical assistance, social justice education and anti-oppression consulting to community organizations. Mission: Chinook Fund is committed to the transformation of society into one that promotes social justice and freedom from oppression, including but not limited to: racism, sexism, classism, heterosexism, ageism, and ableism.

Chinook is seeking to fill a 5-6 month contract position that will support the organization and two Co-Executive Directors in office management, business operations, grantmaking, development and communications. The job duties are outlined below, but are flexible based on skills of applicants.

Potential Responsibilities

Programs & Education
* Review all incoming grants for completion
* Creating & distributing packets for GMC members
* Enter grant data into database; Filing
* GMC meetings support: setup, securing food donations, note-taking
* Database review – Support for Grantmaking Evaluation
* Logistics and planning for Grantee Awards Event

Resource Development
* Fundraising letter & special event invite mailings
* Support volunteer letter signing
* Gift correspondence: database entry & thank you’s
* Follow-up calls for fundraising appeal & events
* Logistics and planning for fundraising special events

Business & Finance
* Accounts payable/receivable
* Maintain relationship with vendors
* Payroll
* Filing

Office Management
* Carry out data backup
* Buy/keep track of office supplies
* Maintain shared calendar
* Participate in staff meetings & take notes
* Chinook volunteer meeting scheduling, coordination & outreach

Communications
* Annual report & newsletter mailing
* Gather content, format & send out online bulletins
* Maintain Facebook page
* Publication layout/design (fundraising materials, special event marketing, annual report)

Qualifications
Required:
* Excellent organizational skills, attention to detail and ability to multi-task
* Experience with office management/administration, preferably in a non-profit
* Strong oral and written communication skills
* Proficiency in Microsoft Office applications, including Word, Excel, Outlook and Access
* Self-starter, comfortable with taking initiative
* Ability to work closely with others in small, highly collaborative team environment
* Strong commitment to social justice, anti-oppression and mission of Chinook

Preferred:
* Experience working in a social justice non-profit organization
* Experience with bookkeeping, Quickbooks, accounts payable/receivable
* Experience with communications – publication layout/design
* Experience with special event planning
* Experience with volunteer management

Work Schedule & Compensation
* This position is a temporary, hourly (non-exempt) position, for the period of October 1st – February 1st
* The position is 30-40 hrs/week, negotiable based on applicant.
* The Administrative Associate will report to the Co-Executive Directors, who operate as a collective leadership team.
* Normal business hours are Monday-Friday from 9am-5pm. Some weekend/evening hours are required.
* Chinook will offer salary of $10-16/ hour, based on experience.
